Please read the submission guidelines below before you submit your abstract.

Please note that we will not edit the abstracts or any other details of the submissions, so make sure that the information you provide is correct.

Before the submission deadline, you will be able to log in to the system and make amendments to your submission. No amendments are possible after the submission deadline.

The primary focus of the conference is sexual health promotion. However, if you wish to present your work in any other area of health promotion, you are welcome to submit your abstracts. We will open parallel sessions or poster stands for works in other areas depending on the number of such submissions.

Thank you for submitting an abstract to our conference.

Format

We invite submissions for oral presentations, posters, or workshops. Research-based, policy-based and practice-based presentations or workshops are welcome.

Oral presentation: Oral presentations will be structured into Parallel Sessions based on their content. The length of the oral presentations is usually not longer than 10 minutes presentation and 5 minutes for questions and answers. If there is more than one presenter, please note that the maximum time allowance will still be the same as for other presentations. The presenting author’s email address should be provided for correspondence. We will inform the presenting authors about the exact time allotted for the oral presentations in due course.
Poster: A0 size poster boards (vertical layout) will be provided. The presenting author commits to be the representative attending at designated times during the conference. Posters will be structured into thematic blocks.
Workshop: These will be 60 minutes interactive sessions that requires an active contribution from the participants and have a well-defined learning outcome. The authors are free to decide on the content and the structure of their workshop. Workshops will be chosen based on relevance to conference theme.

You can select which format would you prefer. We will try to accommodate preferences, but we retain the right to decide on the format of each submission, depending on the slots available.

Structure of abstracts

The maximum length of abstracts is 250 words.

Empirical works should be structured into: Background – Method – Results – Discussion.
Practice and policy-related works should be structured into: Background – Approach – Outcomes – Discussion.
Workshops should be structured into: Background – Content – Learning outcomes.

The text of the abstract should be one continuous paragraph, but please include these headers. Please avoid abbreviations if possible; if they are crucial, resolve them at the first appearance. Please do not include references in the abstract.

Evaluation

The submissions will undergo a peer review process which will inform the Organising Committee’s decision on acceptance. Submissions will be evaluated based on:

Relevance to the conference theme
Interest
Contribution to scholarship, practice or policy
Method
Overall quality.

Conflicts of interest and usage of copyrighted materials

Please note that the HPRC principles of funding do not allow us to work with, or for, the tobacco, alcohol, pharmaceutical or arms industries. Partnerships or sponsorship will not be considered appropriate where there is a fundamental mismatch of goals and objectives with those of the HPRC. This extends to the funding of activity presented at our annual Health Promotion conference. If your work has been funded by any of these industries, please do not submit an abstract as it will be rejected.

If you are using copyrighted material in your presentation, poster or workshop, please ensure you have obtained the neccessary permissions.

If your submission is accepted

Authors of each submission will be notified about acceptance or rejection by 27 May 2025 (Tuesday) and will receive detailed instructions on the format if accepted.

The presenting author confirms that in case of acceptance, they will register for the conference and pay the attendance fee in advance. The presenting author will be responsible for communication on behalf of the authors’ group and for the content of the presentation. They will also confirm that their presentation and the work on which it is based upholds ethical standards in relation to research practices and/or working with children, families and/or vulnerable groups.

If your submission is accepted, you will be required to submit the PowerPoint slides of your oral presentation/workshop (in PDF or PPTX format) or your poster (in PDF or PNG format) some days before the conference. Authors presenting a poster are responsible for printing and mounting their posters before the poster session. Authors can decide whether they agree to publish their presentations at www.universityofgalway.ie/hpconference/previousconferences/.
